HIGHLIGHTS
The post graduate department of Hospital Administration came into existence in AIIMS Bhopal with the joining of two faculty members in the year 2020.The Department is presently run from the Lower ground floor of the academic block of the hospital with Dr. Lakshmi Prasad (Additional Professor), & Dr. Kawal Krishan (Additional Professor). The Professor post is vacant. It is envisaged to evolve the Department into a centre of excellence for teaching, training and research in the field of Hospital Administration and Management.
THE DEPARTMENT ACTIVITIES:
1. Medical records:
Medical records department receives the medical records of all the patients discharged after treatment. The death files and MLC records are also received by the departments. These records are stored in physical form and retrieved whenever required. Digitalization of all the patient record is in progress. By the end of 2024 all patient records will be available in digital form as well. MRD works in coordination with the Investigation agencies to help in resolving the MLC cases. Medical bills verification for re-imbursement are attended by the department. MRD is the backbone of retrospective data collection for research and the department helped in 249 thesis and other research projects. Medical records department also remained involved in daily reporting of COVID-19 patient admission status and COVID-19 vaccination status with the State and central Government health agencies. Liasoning with the state Government and Central Government Health agencies for exchange of health information, sharing of birth and death statistics, notifiable diseases is being done by the Medical Records Department.
2. Public Relation Department
The department is looking after public relations division of the institute, ensuring information dissemination to the public as per the institution policy. The department faculty streamlined the PR cell functioning to ensure seamless flow of information through print, electronic and social media showcasing the Institution achievements.PR cell record and disseminate on the official social media accounts the health awareness videos by the health experts for the information of the general public and the patients. PR cell on daily basis share the hospital activities with the stakeholders through print media, social media and electronic media.
3. Linen and laundry services:
Linen and laundry services of the institute ensure availability of all categories of clean linen to all the patient care areas of the hospital. The linen and laundry section collects demand of linen, compiles, forward to procurement section for procurement, receives fresh supplies, issues fresh linen after inspection by the inspection board. Torn and damaged linen is sent to the tailoring section for repairing of the repairable linen items. Gauze pieces are being prepared in the tailoring section, besides fresh lien items like curtains, screen covers are stitched in the tailoring section. Laundering services of dirty linen is outsourced however the laundry section under the department undertakes the overall supervision of the contract services to ensure availability of clean linen for daily exchange as per color code and hospital policy.The department proposed in 2023 for inhouse mechanized laundry on PPP mode. The in house mechanized laundry will be operational from 1
May 2024.
4. Quality services & Hospital Accreditation program
The Department in involved in the quality programs of the institute. Faculty of Hospital Administration work in coordination with other departmental nodal officers for preparation, updating and implementation of quality manual, SOPs and trainings. The institute got entry level NABH accreditation in 2023
5. Implementation of the ABDM
The department oversees the implementation of Ayusman Bharat Digital mission. Facilitation of registration clerks/ DEOs for generation of ABHA Ids at the time of OPD registration and left over admitted patients, hand holding guidance of the patients and attendants by the hospital staff for seamless appointment through scan and share and linkage of health records of the patients with their ABHA IDs are the components of ABDM implemented successfully. AIIMS Bhopal is at second position in the country in scan and share implementation. AIIMS Bhopal is also second in data linkages among all the hospitals in the country.
6. Out Patient Department:
The OPD services including registrations and patient facilitation in coordination with the department was effectively managed during the COVID-19.
7. Private Ward Block:
Private ward block of the hospital comprises of 44 patient rooms and 2 suit rooms. Patients of different specialties are admitted in the private ward on the recommendation of treating Doctor/HoD. The patients are provided furnished separate room with attach washroom with round the clock nursing care at a very nominal charge. The Department of Hospital Administration was responsible for the accommodation and other managerial issues in the private ward block of the institute during the COVID-19.
8. Phlebotomy
Phlebotomy area also known as area 09 is the only sample collection area of all the OPD patients. Around 900 patients attend the area for sample collection per day. Ten trained personnel are engaged in the blood sample collection besides two billing counters are also operational in the unit for the benefit of the patients. Department of Hospital Administration ensured seamless functioning of the unit by direct supervision of the activities.
9. Dietary services
The department of dietetics serves twelve different categories of diets in five patient meals in a day to the patients admitted in the hospital. OPD diet counselling services are being offered patients referred by various clinical departments. Bed side diet counseling to the IPD patients is also being attended by the department, whose diet consultation call was sent by various clinical departments during the year. Regular training sessions on food hygiene practices are conducted for food handlers. The dietetics services were managed under the direct supervision of the department during the COVID-19 period. The faculty of Hospital Administration is a part of the dietary service committee. The tendering process, quality checks are standardized by the Department.
10. House Keeping Services:
From routine work reviews to tender document preparation through the committee and professional approach is being extended.
11. Bio-Medical Engineering
The Bio-medical Engineering Unit is an existence since September 2019 with the joining of one bio-medical engineer. Presently the unit comprises of one bio-medical engineer and two qualified technicians. The bio-medical engineering unit managing 3852 electro-medical equipment worked under the guidance of the Department of Hospital Administration till 2023. Inventory of bio-medical equipment, log book recording, preventive maintenance schedule of the equipment, CMC, breakdown maintenance and co-operation and co-ordination with the Departments and vendors was ensured during the period.
12. Pharmacy Stores:
Along with other faculty members from other departments, the dept. of Hospital Administration taking lead has implemented Inventory Management Principles in the Pharmacy. Proper physical verification; reconciliation of stock. Systems of stocking of the medicines & consumables & managing of the expiry items remain defined.
13. Procurement and Central Stores
The Dept. of Hospital Administration has defined the timelines of each of the procurement methods involving the stake holders. File movements within Central Stores is defined to improve the process within the Central stores with proper review mechanisms at all levels. Long pending shifting of Central Stores to the designated space in the service building was undertaken paving way for creation of Medical ICU with 20 beds. The procurement of equipment for 3rd floor Modular OTs undertaken on mission mode and facilitated functioning of the same successfully.
14. Kayakalp:
As a part of the committee and in coordination with the support service departments, the documentation, trainings and other requirements are updated and presented for assessment by the internal/external assessors. The department along with other core group members from other department ensures maintenance, trainings and document updating in the patient care areas. The smooth conduction of internal assessment, peer assessment and final assessment is being ensured.
15. Grievance redressal
Grievance/ suggestion boxes were wall mounted at multiple easily accessible locations of the hospital during 2022-23. The keys of the grievance/ suggestion boxes were under the custody of department and the were opened on Saturdays, compiled, necessary steps initiated and conveyed to the concerned stakeholders during the period.
16. Committees:
The Dept. has developed SOP frame work for the Institution. Two faculty members of the department are In-charge, member-secretary or member of around 20 committees of the institute. The faculty extends services as experts to other hospitals. The dept. contributed in formation of Dos and Don’ts for employees. Few of the committees including HICC, Quality assurance MTP board, Kayakalp, MGPS, OT, TSC, LPCs etc.
17. Internal navigation
The department is working on indoor navigation system to facilitate the ease of access to services for the patients and also working on asset tracking mechanisms for optimal use of resources.

The Department of Hospital Administration at AIIMS Bhopal envisions itself as an emerging centre of prominence in the field of healthcare management. The department strives to compliment the high-quality healthcare services provided by AIIMS Bhopal to the community through formulating operational SOPs and KPI in non-clinical support services areas.
Mission:
The Department Of Hospital Administration assist administration to make healthcare services of the institution more accessible and affordable to all sections of society by synergising the IT capabilities, Govt. schemes and by extending operational support being responsive in all the areas of functionality.
